This article outlines a series of steps to do the following:
Import an existing excel Opportunity data file file to Pronto
- Go to the Ecosystem module and choose a Relationship to which you want to Import Multiple Opportunity data.
- Click on the Sales tab within the selected Relationship on the left sub-navigation menu.
- Click on the Opportunities tab under the Sales menu on the left sub-navigation.
- Click on the Add Opportunity tab on the top right corner of the screen and select Report from the drop-down menu to upload a report downloaded from a CRM or an already existing excel sheet.
- Select the desired .xlsx or .csv file from your local system and click next.
- Once you click on Next, you will see a pop-up window which automatically* maps the system fields to the report that is being uploaded. Map the remaining Mandatory fields and the other fields that you want to populate.
*Pronto uses state of the art AI and ML algorithms and other necessary coded intelligence to discover, learn and auto map your spreadsheet headers to Pronto fields. The experience of uploading further reports becomes more intuitive and seamless as the system constantly learns and enriches based on the past data uploaded.
Make sure the Source Record ID* is mapped to the Opportunity which you want to be updated and not duplicated.
*Source Record ID can be Opportunity name, Opportunity ID, Account ID or a specific ID from the excel sheet
If you uploaded a weekly or a bi-weekly report previously and if you are uploading the report again with the new edited or added data, make sure the Source Record ID* is mapped to the Opportunity which you want to be updated and not create a duplicate entry.
Note: Please note the mandatory fields required denoted by *
After you map the corresponding fields, click on Next to start the import process. - You will now be navigated to the Import opportunities screen. You will see a message to the bottom left of the page “Fields have been mapped successfully” and “Opportunities have been fetched successfully”.
As per your need either you can choose to import only selected opportunities or select all the opportunities to import. - On the Import Opportunities page, select all the Opportunities you want to import and click on Add to Sales to the bottom right corner of the screen.
- You will now be navigated to the Sales>Opportunities page.
The selected opportunities would import and you will see a message “Opportunities have been imported successfully” to the bottom left of the screen.
Issues with importing
a) If there is an issue with the partner email address or if any required field is not mapped correctly or if there is an issue with the format you will see the errors highlighted in red. Once you correct the errors and update the fields, the import should be successful.
b) Once you edit the email address and hit on Save and continue, if the partner email address is not present in the system, you will see an other pop-up window asking you to add the partner email to the relationship and you can also select the Notify box for the user to receive an invitation to login.
Note: The user will be added as a Collaborator. If you wish to change the user role, you can do it from Overview>Members>Select More actions menu for member and change user role. - After you map the excel sheet, on the Import Opportunities page, you can set a filter condition to filter data from your source file before importing it into Pronto.
a) Set "AND" condition(s)
--> To set the filter, select the Set "AND" condition(s) option on the top right of the screen.
--> Provide the desired filter condition and click on Fetch data to filter the data in your source file.
b) Set "OR" condition(s)
--> To set the filter, select the Set "OR" condition(s) option on the top right of the screen.
--> Provide the desired filter condition and click on Fetch data to filter the data in your source file.
